Junior Executive
Responsibilities:

  • Office Administration:
  • Organizing and archiving documents.
  • Scheduling meetings, appointments, and executive agendas.
  • Handling incoming and outgoing mail.
  • Data Management:
  • Entering and updating data in systems or databases.
  • Ensuring data accuracy and security.
  • General Services:
  • Answering phone calls, emails, and handling general inquiries.
  • Assisting internal staff with needs such as office supplies, documents, or leave requests.
  • Internal & External Coordination:
  • Communicating with external parties such as vendors, clients, or institutions.
  • Relaying information from management to other departments.
  • Inventory Management:
  • Managing office supply needs (stationery, work equipment).
  • Ordering, checking stock, and reporting expenses.
  • Reporting & Documentation:
  • Creating monthly reports, attendance records, and expense logs.
  • Taking meeting minutes if needed.

Requirements:

  • Education:
  • Minimum: High school diploma (SMA/SMK).
  • Preferred: Associate’s or Bachelor’s degree in administration, management, or related fields.
  • Experience:
  • 1–2 years of experience in an administrative or clerical role is often preferred.
  • Fresh graduates may be considered for junior roles.
  • Skills:
  • Strong communication (verbal & written).
  • Proficient in Microsoft Office (Word, Excel, PowerPoint).
  • Good organizational and time management skills.
  • Attention to detail and accuracy.
  • Ability to multitask and work under pressure.
  • Basic knowledge of filing systems and office procedures.
  • Personality Traits:
  • Honest and trustworthy.
  • Responsible and reliable.
  • Professional appearance and behavior.
  • Friendly and helpful attitude (especially in receptionist or front desk roles).
  • Technical Knowledge (optional but advantageous):
  • Familiarity with office equipment (printers, scanners).
  • Experience with data entry systems or accounting software (e.g., SAP, QuickBooks).
  • Knowledge of scheduling tools or HR systems.
  • Language:
  • Proficiency in the company’s working language (often English and/or local language).
  • Multilingual ability is a plus, especially in international companies.
